Free invoice template for photographers

Photography is paid for in an unusual rhythm: a deposit to hold the date, the big day itself, and a balance after the edited photos are delivered. An invoice that follows that rhythm keeps both sides calm.

This template shows a full day of coverage, a printed album and extra hours, and the notes line explains how the advance and the balance work.

The lines below are samples, so you can see how the invoice looks. Change the words and the prices to your own, add your business and your customer, and download the PDF. The sample prices and the tax rate are only placeholders: set the right rate for what you actually sell. Tax is added once you enter your tax number; without one, the invoice is made without tax.

What goes on a photographer invoice

Six things, and each one is there for a reason. Leave them out and you are the one who pays for it later, in chasing and in explaining.

    The event, the date and the place

    "Wedding photography, 14 February, Jaipur" makes the invoice unmistakable, and a good record for you next year.

    What you will deliver

    The number of edited photos, an album, a gallery link. Say what is included so that "I thought it came with prints" never happens.

    The advance already received

    Show it as an amount paid, with its date, so the balance due is clear at a glance. In the invoice maker, you can list the deposit in the notes.

    Extra hours and travel on their own lines

    If the event ran long, a line for "extra hour of coverage" is simple to explain and hard to argue with.

    Usage rights, in a sentence

    Who may use the photos and for what. A short line such as "for personal use; the photographer may show them in a portfolio" saves a long conversation later.

    Delivery time and the balance due date

    People wait for their photos. A clear date, such as "edited photos within 21 days", is something you can keep.

How to use this template

  1. Fill in your details once. Your business name, address and tax number. Your browser remembers them for next time, only on your own device.
  2. Replace the sample lines with what you actually did or sold. Add as many as you need, and move them up or down.
  3. Check the preview, then download the PDF to send, or the Excel file if you want to keep editing it in a spreadsheet (its totals are live formulas). After you download, the next invoice starts blank with your details kept and the number counted up.

A few habits that get you paid sooner

  • Take a deposit to hold the date

    A date is the one thing you cannot sell twice. A deposit, usually a quarter to a half of the fee, makes a booking real for both sides.

  • Separate products from services

    A printed album is a thing you sell. Coverage is a service you provide. Putting them on separate lines makes the invoice clearer, and in some countries they are taxed differently.

  • Send the invoice before the day, not after

    A booking invoice, with the deposit due, is better than a surprise bill after the wedding.

Mistakes to avoid

  • No deposit line, so a cancelled date costs you the entire booking.
  • Not saying how many hours of coverage the fee includes, so every long event becomes a negotiation.
  • Leaving usage rights out and finding your work on someone's website.

A word on tax for photographers

Photography is a service, so in countries with GST or VAT it is taxed at the rate for that service once you are registered. In India, services below the registration limit (₹20 lakh in most states) are not subject to GST. If you also sell printed albums or frames, those are goods and can sit at a different rate: put them on their own lines and set the rate for each. Photographers who shoot weddings abroad, or for foreign clients, should look at how their country treats exported services.

Questions people ask

How do I show the advance I already received?

The simplest way is to describe it in the notes, for example 'Advance of ₹20,000 received on 2 January; balance due on delivery'. Inside an Invoiceo account, you can record the advance as a payment against the invoice so the balance is worked out for you.

Should the invoice include the album as a separate line?

Yes. The album is a product, the coverage is a service, and your client sees exactly what each costs. It also lets you apply the right tax rate to each.
