Free invoice template for plumbers, electricians and repair work

If you fix things for a living, you probably write the bill standing in someone's kitchen, with a phone in one hand. This template is made for that: it works on a phone, and it keeps the three things a repair bill is made of apart. Labour, parts and the visit.

Customers pay quickest when they can see exactly what they are paying for. A bill that says "repair: 2,800" invites questions. One that shows labour, two taps and a visit charge answers them.

The lines below are samples, so you can see how the invoice looks. Change the words and the prices to your own, add your business and your customer, and download the PDF. The sample prices and the tax rate are only placeholders: set the right rate for what you actually sell. Tax is added once you enter your tax number; without one, the invoice is made without tax.

What goes on a plumber, electrician and repair invoice

Six things, and each one is there for a reason. Leave them out and you are the one who pays for it later, in chasing and in explaining.

    The address and the date of the job

    Many customers keep your bill for the warranty. The address and date prove when the work was done and where.

    Labour, written as what you did

    "Repair of bathroom pipe leakage" tells the customer what they got, and it is much harder to dispute than "labour".

    Each part, with its quantity and price

    Two replacement taps at ₹650 each reads as honest. A bundled "parts: 1,300" does not.

    A visit or call-out charge

    If you charge to come out, show it as its own line so it is not mistaken for padding.

    "30 days on the workmanship" gives the customer comfort and gives you a clear limit.

    Write your UPI ID or bank details in the notes, along with a number the customer can call if something goes wrong.

How to use this template

  1. Fill in your details once. Your business name, address and tax number. Your browser remembers them for next time, only on your own device.
  2. Replace the sample lines with what you actually did or sold. Add as many as you need, and move them up or down.
  3. Check the preview, then download the PDF to send, or the Excel file if you want to keep editing it in a spreadsheet (its totals are live formulas). After you download, the next invoice starts blank with your details kept and the number counted up.

A few habits that get you paid sooner

  • Make the bill at the end of the job, on the spot

    Everything is fresh, the customer is there, and you are paid before you leave. The invoice maker works well on a phone.

  • Agree on the price for bigger jobs first

    For anything over a simple fix, tell the customer the likely cost before you start and note it on the bill.

  • Keep parts receipts

    If a customer asks what a part cost, or you need to claim the tax on it, you will be glad of the receipt.

Mistakes to avoid

  • Writing one lump sum, which is the usual reason customers query a bill.
  • No date or address, which makes warranty claims a matter of memory.
  • Taking payment in cash and giving no bill, so there is nothing to show if the work fails.

A word on tax for repair work

In India, a small repair business whose sales are below the GST registration limit (₹20 lakh for services in most states) does not charge GST. A registered service provider charges the rate for the service, and parts you supply as part of the job are usually taxed along with it, as one supply, but rules for goods sold separately can differ. A small service provider can also opt for the composition scheme, paying a flat percentage of turnover in place of regular GST, in which case you issue a Bill of Supply and charge no GST to the customer. In the UK and the UAE, VAT applies once you are registered.

Questions people ask

Do I charge GST on spare parts?

If you are registered and you supply parts as part of the job, GST is normally charged on the whole job, with the rate set by the type of work. If you sell the part on its own, it is a sale of goods with its own rate. Your accountant can tell you which applies to the work you do.

Can I make the bill on my phone?

Yes. The form works on a phone, with a preview tab so you can check the bill before you download it. Then share the PDF by WhatsApp or email.

What if the customer does not want a GST bill?

If you are registered, you must issue a tax invoice for taxable work. If you are below the limit and not registered, you issue a simple bill with no tax.
