The rules for using Invoiceo: what it does, what stays your responsibility, and how we deal with each other.

In short

  • Invoiceo is a tool for making invoices and keeping records. It is not tax or legal advice and is not approved by any tax authority.
  • You are responsible for the tax rate, the accuracy of each invoice, and filing your returns.
  • Your data stays yours. We use it only to run the service, and we do not sell it.
  • Issued invoices are never silently changed: they are cancelled with a reason, so your books stay clean.
  • The Free plan is free. Paid plans are not on sale yet, and you will see the price before you pay for anything.

1. Who these terms are between

These terms are an agreement between you and Invoiceo, which runs Invoiceo (“we”, “us”). By creating an account, or by using the free invoice maker, you accept them. If you are using Invoiceo for a business, you confirm you have the authority to accept them on its behalf, and “you” includes that business.

You must be at least 18 and be using Invoiceo for a business or professional purpose. Please read our Privacy Policy too.

2. What the service is, and what it is not

Invoiceo helps you make invoices, quotations, delivery challans and credit and debit notes, record payments and expenses, track stock, and run reports. It works out tax from the details you enter, using the rules of the country you choose.

It is a tool, not an adviser. Invoiceo is not tax, legal or accounting advice. It is an independent product: it is not approved, certified or endorsed by GSTN, the IRS, HMRC, the UAE Federal Tax Authority, the Canada Revenue Agency, or any other tax authority. It does not file returns for you. Tax rules change and have exceptions that depend on facts only you know, so please check anything important with a qualified professional.

E-invoicing (India). The e-invoice feature prepares the data in the government’s format, checks it and lets you test the flow in a sandbox. It does not, by itself, obtain a real Invoice Reference Number or signed QR code: only the government’s portal can issue those. Where the law requires an e-invoice, getting a genuine IRN remains your responsibility.

3. Your responsibility for tax and accuracy

You are responsible for the invoices you issue. In particular, you are responsible for:

  • choosing the correct tax rate, category and codes for what you sell, and the correct place of supply, supply type and customer details;
  • checking each invoice before you send it, and whether you must charge tax at all, including zero-rated, exempt and reverse-charge cases;
  • filing your returns, paying your tax, and keeping the records the law requires, for as long as it requires them.

India (GST)

Invoiceo works out CGST, SGST/UTGST or IGST from your state, the place of supply and the supply type you pick (regular, SEZ, export), and supports composition dealers (Bill of Supply), reverse charge and round-off. The GST rate, HSN or SAC code, e-invoice requirement and return filing remain yours.

United States (sales tax)

Invoiceo adds sales tax at the rate you enter. Rules differ by state, county and city and depend on what you sell and to whom. The rate, any exemption (for example a resale certificate) and whether you must collect at all are your responsibility. We do not look up rates, track nexus or file returns.

United Kingdom, UAE and Canada

Invoiceo adds VAT (UK and UAE) or GST/HST (Canada) at the rate you set per item, and checks the format of tax numbers. Choosing the right rate, including zero-rated and exempt items, registering when you must, and filing are yours.

4. Your account and your team

  • Give accurate information and keep it up to date.
  • Keep your password private. You are responsible for what happens under your account, including what people you invite do. Tell us at once if you think someone else has got in.
  • The owner of a business decides who joins it and what role they have. Remove people who should no longer have access.
  • One person should not share a login with others; invite them instead, so the activity log stays accurate.

5. Your data

The records you enter are yours. You give us permission to store and process them only to provide the service to you, as set out in the Privacy Policy. We do not sell them and do not use them to train AI models.

You promise that you have the right to put the data in, including your customers’ and suppliers’ details, and that doing so does not break the law or anyone’s rights. For that data you are the controller and we are your processor, as the Privacy Policy explains.

You can export your reports as CSV and download your invoices as PDF at any time. Please keep your own copies of documents that matter.

6. Records you can trust

Drafts can be edited freely. Once an invoice is issued it cannot be changed or deleted: you cancel it with a reason and make a new one, so your books always show what really happened. We keep a log of who did what. You agree not to use Invoiceo to create documents that misstate a sale, or to hide or invent transactions.

7. Sending emails to your customers

If you switch on payment reminders, you are the sender of those emails. Only use them for money a customer really owes you, and follow the email and anti-spam laws that apply to you and to them. Every reminder carries an unsubscribe link, and we will not send reminders to a customer who has used it. Do not use Invoiceo to send anything else.

8. The free invoice maker

The invoice maker on our home page is free to use without an account. It makes a PDF or an Excel file from what you type and keeps nothing on our server. The same rules about tax and accuracy apply: check the invoice before you send it. PDFs made there carry a small “Made with Invoiceo” line; please leave it in place. Invoices made inside an account do not carry it.

It is rate-limited to stop abuse, and may change or be withdrawn.

9. Fair use

Please do not:

  • use Invoiceo for anything unlawful, including tax evasion, fake or inflated invoices, or money laundering;
  • upload malware, or try to get into accounts, data or systems that are not yours, or test our security without our written permission (see our security contact for responsible reporting);
  • overload the service, scrape it, or get around its limits;
  • copy, resell or reverse-engineer the service, except where the law allows;
  • pretend to be someone else or use another business’s name, logo or tax number without the right to.

If you break these rules we may limit or suspend your access. Where we can, we tell you why first.

10. Plans and payment

The Free plan costs nothing and needs no card. Paid plans are listed on our pricing page for reference, but they are not on sale yet. When they are, we will show the price, what it includes, how billing and cancellation work, and any taxes before you pay, and you will have to agree to that separately. Prices and limits of the Free plan may change; we will tell you before a change that affects you.

11. Ending the relationship

  • You can stop using Invoiceo whenever you like and ask us to close your account by writing to support@invoiceo.app. Export what you need first.
  • We may suspend or close an account that breaks these terms, puts the service or others at risk, or is unused for a long time, and where we can we will warn you first and let you export your data.
  • After closure we delete or anonymise your data as the Privacy Policy says. Sections that by their nature should survive (for example liability and governing law) do.

12. Availability and changes to the service

We work to keep Invoiceo available and to fix faults quickly, but we do not promise it will never be interrupted or free of errors. We may improve, change or remove features; if a change would seriously harm how you use the service we will give you notice. Features marked as new, beta or sandbox may be less reliable.

13. Our software and your feedback

We own Invoiceo, its software, design and name. These terms give you a personal, non-exclusive right to use the service while they apply, not ownership of anything. If you send us ideas or feedback, we may use them without owing you anything, but we will never publish your business records.

14. No guarantees beyond the law

The service is provided “as is”. We do not promise that it will meet your needs, that results such as tax calculations will be right for every situation, or that it will be uninterrupted or error free. Nothing in these terms takes away rights you have under consumer or other laws that cannot be waived.

15. Limits on our liability

To the extent the law allows: we are not liable for indirect or consequential loss, lost profit or revenue, tax, penalties or interest you owe because an invoice or return was wrong, or for data you lose because you did not keep your own copy. Our total liability for any claim relating to the service is limited to what you paid us in the 12 months before the claim, or, if you use the Free plan, to US$100.

None of this limits liability that cannot be limited by law, such as for fraud, or for death or personal injury caused by negligence.

You agree to cover us against claims by third parties that arise from your breach of these terms or from the invoices and data you create, to the extent the law allows.

16. Governing law and disputes

These terms are governed by the laws of India. If you are a consumer in a country whose law gives you the right to bring a claim in your home courts, that right is not affected.

Before going to court, please write to us at support@invoiceo.app and give us 30 days to try to put things right. Most problems can be solved that way.

17. Changes to these terms

We may update these terms. We change the date at the top and list what changed below. If a change matters, we tell account holders by email or in the app before it starts. If you do not agree, you can close your account; continuing to use Invoiceo after the change takes effect means you accept it.
